There is indeed a tool that will allow you to archive ITSM data – in chains
– to either archive forms or external files.

 

The problem with the OOTB Archive solution is that each form is considered
as an individual form.  The flaw makes archiving a complete tree of records
difficult.

 

For example, an Incident ticket is a record in HPD:Help Desk, and bunches of
related records in HPD:WorkLog, HPD:Associations, TMS:Task, etc,  in other
words a tree of records across many forms.

 

Meta-Update is the only tool to easily and quickly deal with trees of
records.

 

So, say you wanted to archive all closed tickets older than one year to a
bunch of forms called ARC:HPD*, ARC:TMS*, etc.

 

Meta-Update would query the HPD:Help Desk form for your condition (All
closed tickets older than one year) and move them appropriately – giving
them new request ids but not new incident ids (if you so wish!  Not really
necessary), and then query for related records in HPD:WorkLog,
HPD:Associations, TMS:Task, and so on, and move them as well.  

 

Meta-Update would use the same process to archive them to HTML files, CSV
files, etc.

 

Advantages of Meta-Update include:

 

Ø  No changes need be made to OOTB ITSM.  Meta-Update works as an API based
batch facility and can be controlled by a single escalation or OS scheduling
such as “cron” or “at”.  

 

Ø  Meta-Update is powerful and simple.  Typical automation efforts are
reduced by a factor of 10.  

 

Ø  Meta-Update comes with a bundle of tools that make maintaining and
problem solving ITSM much simpler, for example Meta-Schema that generates
form and field lists for Excel, Meta-Query that allows any ARS or SQL query
without an SQL client to produce Excel compatible files.
