Hi all,

Many thanks for supporting holding the Apache Event in Tsinghua

More than 150 students and young developers attended the lecture.
Students liked the stickers, and enjoyed the talks very much I think.

I have uploaded the videos and slides (and have got the permission of
authors) to Youtube and SlideShare.

You can find them from [1]~[10].

There are some stickers left.  I also customized 3 boxes of glass

By the way, do I need to write something (in English) to broadcast the

Re: Thoughts on study about the impact of the Apache ecosystem on community diversity of open source projects

2020-11-02 Thread sharanf

Hi Isabella

Thanks very much for reaching out to me.  It's great to hear that you
are interested in the Apache Software Foundation (ASF) and doing some
research on the the potential lifecycle of incubating projects. I think
that the topics that you are looking to gather information on cover a
few areas within the ASF. While Community Development is a general
umbrella covering all Apache communities, we do have specific areas that
are focussed specifically on D&I and Apache Incubator itself.

Our Apache Incubator community oversees the whole Apache incubation
process while  D&I community has been instrumental in performing the
latest survey of diversity within the Apache communities and may be able
to give you a better indication of what diversity information we have
and can share.

In the meantime I will try to respond inline to your various points below.

A key tool we use to gather statistics and metrics for all Apache
projects is another Apache project called Apache Kibble which collects
contribution and statistics information on incubating projects too so
maybe take a look at.

On 2020-11-02 16:10, Isabella Ferreira wrote:

Dear Sharan Foga,

My name is Isabella Ferreira and I was in your presentation at
CHAOSScon Europe 2020. Based on your presentation, I saw that you are
involved in several initiatives to encourage diversity within the ASF.

We, a group of Canadian and Dutch software engineering researchers,
are interested in understanding why some projects joining Apache
incubator grow and succeed, and others fail. Based on this study, our
eventual goal is to formulate recommendations for projects considering
to join Apache in terms of expectations and best practices. We aim to
share our findings with the Apache community as well as software
practitioners and researchers.

So far we have manually classified the incubator proposals of 292
projects to understand their motivation. We have found that these are
the top-5 reasons for joining the Apache incubator:

1.
Community building
2.
Community diversity
3.
Follow an established development process (such as the "Apache Way")
4.
Increase user base
5.
Expected collaboration with other projects

As the next step, we would like to evaluate to what extent joining the
Apache ecosystem has enabled projects to achieve their goals. In
particular, we are interested in questions like:

 *
Did the number of organizations contributing to Apache projects
increase compared to before joining the Apache incubator?

We have been using Apache Kibble to generate statistics for all our
projects and we don't currently track track organisational affiliation
properly but there have been discussions about ways to improve and
include it.

For projects coming into Apache Incubator, I believe some organisational
affiliation is captured initially to ensure diversity of project
affiliation and the lack of dependency on one specific company. As you
mention sometimes a project enter incubation to grow their communities
as they need to diversify to survive.

 *
Did the geographical spread of contributions to Apache projects
increase compared to before joining the Apache incubator?

I don't think Apache Kibble captures geographical location of
contributions but it does capture the time and date of the contribution,
if that is any help.

 *
Did the gender diversity of contributions to Apache projects
increase compared to before joining the Apache incubator?

We do have the contributor id but Apache Kibble doesn't specifically
capture or report on this information. Perhaps our D&I community may be
able to help you here with some relevant details from the last Apache
Diversity survey.

While the GitHub and Subversion repositories of Apache projects
provide information about the kind of contributions made (size,
complexity, etc.), the information needed to address the above
questions is not as readily available.

Hence, as the current VP of the Apache Community Development, we would
like to have your thoughts on what would be the best way to obtain
access to the above diversity data, without breaching any
confidentiality concerns:

 *
Is there a means to get access to Apache patch submitters’
contributor agreements, for research purposes? If so, what is the
process for this (e.g., NDAs to sign)?

Tha ASF site publishes publicly the list of people and companies that
have signed an Individual or Corporate Contributor Licence Agreeement
(ICLAs). If you are asking for access to the actual document signed,
then no - this is not possible.

 *
Alternatively, is there a way for us to provide R or Python
analysis scripts that someone with data access could run on our
behalf, as such only exposing aggregate data to us?
 *
Another alternative would be to perform a series of interviews
and/or a survey amongst Apache contributors, although the success

More Details on FOSDEM ASF Virtual Booth

2021-01-17 Thread sharanf

Hi All

I have some additional info from the FOSDEM organisers and have updated
the wiki page.

https://cwiki.apache.org/confluence/display/COMDEV/FOSDEM+2021

We need to start working on pulling the booth website together with the
content to be displayed.

My suggestion for the booth objectives are:

1. Attracting visitors (this is a key part of having a booth, getting
people to come and talk to us!)

2. Promote the  ASF and its Projects by:
   - Running a mini track with demos or short presentations
showcasing specific projects

   - Having project experts available to chat and answer questions
   - Having people available to answer questions about the ASF
3. Run video content that gives basic information about the ASF and what
we do

I think the most important thing is having real people available to talk
to. So if you would like to spend time on the booth talking about and
answering questions about your projects then please add your details to
the wiki page along with your project. We can then promote the date and
time of the session as part of our booth content to attract people.

The booths open at least an hour before any of the FOSDEM talks so we do
have an opportunity to catch people at the beginning of their day.

Remember that there will be a lot of devrooms running throughout the
weekend so if we do decide to run a mini track then it needs to be
interesting enough that people will want to come. The standard talk
length for FOSDEM is 30 minutes so I'd like to suggest that our booth
talks be shorter maybe 10 or 15 minutes with a chance for attendees to
talk to the presenters and ask questions.

If you don't want to present but simply want to be around to talk then
that's OK too. The key thing we need to understand is which projects
will be represented during the event so we can tailor our content to fit.

So what needs to happen now?
The most important task now is that we need to build our virtual booth
site, test it and then send the links to the FOSDEM team before FOSDEM
starts on 6th February!

As a first step we need to create a couple of github repos based on the
FOSDEM stands content. More instructions and details
https://github.com/FOSDEM/stands-website/blob/master/README.md

Any volunteers willing to help with getting this started?

Thanks
Sharan

Offer of Mentoring and Coaching to All Apache Communities

2021-03-07 Thread sharanf

Hi Everyone

I'd like to introduce you to Veronica Tomat. She contacted us a few
weeks ago looking for ways to volunteer and contribute to our
communities. Veronica is new to Apache and she is very keen to help out
by offering her time and skills to us, including coaching, diversity &
inclusion, mentoring mentors, cross cultural negotiation etc.

These topics come up regularly in our community track presentations as
areas that our communities need to understand and learn about, so this
could be an opportunity for us to help improve and reinforce these
skills within our communities.

I've included Veronica on this email so will let her respond and provide
more details of what she can do, how to contact her and how she would

then no other emails sent until 16th February. This is probably why

[REMINDER] CFP for FOSS Backstage closes soon!

2021-11-20 Thread sharanf

Hi All

A reminder that if you want to submit a talk for FOSS Backstage
then the CFP will be closing soon.

For those of you not familiar with FOSS Backstage it is a great
conference that explores a lot of the non coding related topics around
open source (e.g  governance, legal and collaboration). The scope of
some of the talks they are looking for is very similar to what we
generally include as part of the Community Track at ApacheCon so if you
have submitted to our Community Track in the past then you can
definitely submit something to FOSS Backstage.

The conference is planned to be partly online and partly in person - so
you can choose which part of the conference you want to submit to.

You can find out further details on the CFP at the link below:

[REMINDER]: Submissions Open for Community Track at ApacheCon New Orleans

2022-04-10 Thread sharanf

Hi All

The CFP for ApacheCon NA in New Orleans is open and wanted to remind you
that we have a Community track and we are looking for your submissions.

So what is the Community track? It's an opportunity for anyone from our
communities to talk about and share what they have done, learned or
experienced as part of being in involved with Apache.

So what sort of topics are we looking for? (Here are some examples to
get you thinking :-)

 * Your Apache story..How and why did you get involved with the ASF?
 * What does it mean to you to be a Contributor, Committer, Member or
   Officer in the Foundation?
 * What does the Apache way mean to you? What are your real life
stories about understanding and adopting it?
 * Did you or your project have any particular challenges to overcome?
What happened? What worked? And what didn't!
 * How diverse and inclusive are our communities? What have you seen or
   experienced?
 * All those with knowledge of Apache branding, licencing, governance -
please feel free to submit something that will share your knowledge
   with others.
 * Do you have any data or opinions about where we are now and what our
   future communities could evolve into?

The Community Track is all about our communities sharing their thoughts
and experiences with others, so that we can learn from it.
I'm going to mention this upfront as we always seem to get a rush of
submissions in the last week or even the last 24 hours of the CFP - so
although the CFP closes on 23rd May - please don't leave it to the last
moment to submit something :-)

Please see below for a link to the CFP
and you can alsofind out more
details on the ApacheCon site .

It's great to finally be planning a face to face event and we are
looking forward to your submissions :-)

Locating the Items Needed for ASF Booth - New Orleans

2022-08-07 Thread sharanf

Hi All

With ApacheCon NA not too far away - I need to do an inventory of the
stuff we have in the US that we have used for past events that can be
used for the ASF booth. Taking a look at the information on our wiki
https://cwiki.apache.org/confluence/pages/viewpage.action?pageId=81789772
I am not sure how up to date it is. So if you have stuff such as
banners, swag etc (or know someone who is looking after some) then
please ensure that the wiki is updated so we have visibility of where
everything is.

The main things I am looking for are:

 * Our ASF branded tablecover / table throw
 * The large step and repeat banner for behind the booth
 * Various rollup banners such the Apache Feather and List of Projects
(though I think we might need to generate a new banner for the list
of projects since we have a few more since the last one was printed!)
 * Any swag / giveaways we have leftover from previous events

Once we can get these located we can organise getting these taken to or
shipped to the ApacheCon venue in New Orleans.

Thanks

Where to Get an Updated Graphic with List of ASF Projects Logos

2022-08-18 Thread sharanf

Hi All

For Apachecon and other events we generally have a roll up banner with
the logos of all the projects under the ASF umbrella. We also have had
variations of these such as Incubator only projects. The current banners
we have are out of date so I'd like to know where I can get an updated
graphic of good enough quality to create and order a new banner.

As it's external facing I know that M&P need to approve it and in the
past I think it has been generated via various means (Daniel, Central
Services and Sally :-). I know we haven't had face to face events for a
while so it hasnt really mattered so much but as things open up we need
to ensure we have up to date banners that reflect our existing projects
- so my question is who is responsible for generating these type of
graphics that are being used as our official ASF ones? (as I'd like to
get an updated one for ApacheCon)

Hi All

I am preparing the order for project stickers for ApacheCon New Orleans.
Traditionally the ASF booth is the place to come and get your projects
stickers, chat and have fun!.

If you are going to be at ApacheCon and would like to have some of your
project stickers available at the ASF booth then please let me know by
responding to this thread.

I have been through the ApacheCon schedule and created a list of all the
projects that have talks at the event on the ComDev Wiki
https://s.apache.org/z0es8. so will be ordering stickers for all those
on the list. If your project is not on the list and you would like to
have some stickers - then please respond to this thread with the project
name and I will add it.

Please note this also includes getting stickers for  incubating projects
:-)

I'll be putting the order on 14th September to make sure it can be
delivered in time.

Looking forward to seeing you in New Orleans with a booth packed with
project stickers!

ApacheCon New Orleans - Community Track Report

2022-10-16 Thread sharanf

Hi Everyone

Sorry this is a little late - I feel like I am still recovering from
ApacheCon in New Orleans (and no - I don't mean that I have a mega
hangover :-)

Just being at an in person event again - and at ApacheCon was amazing.
From the first day seeing familiar faces turn up and say Hello to
watching talks with standing room only. Meeting new people, having fun,
making jokes and also of course the serious conversations made it a
great experience - I totally enjoyed it all. Even breaking a tooth on
the first day couldn't dampen my enthusiasm (though it might have made
me a little short tempered every now and then!)

I know that a lot of  people couldn't make it due to various reasons and
unfortunately Swapnil Mane our ComDev PMC Chair and Co-Track Chair of
the Community Track was on of them. I was really hoping for us to get to
meet in person but it wasnt to be. I hope that Swapnil and all the
others that didn't get the chance to experience this ApacheCon will get
that opportunity in the future.

So now to business - first of all I'd like to say a huge thank you to
all our speakers came along to speak at the Community Track! You are the
ones that really made the track successful. Our track attracted a really
good audience and I think the topics on the schedule were a good mix
that helped not only inform but also gave the chance to interact.

Thank you to Mick Semb Wever for opening our Community track with a
presentation about Community @ Cassandra. We also heard stories from a
variety of projects including Lucene and Airflow which shows that we all
have something to share that could help other communities evolve and
grow. We had sessions on Avoiding Burnout, Fundraising at the ASF, GSoC,
starting up a project, running events,  the Apache Way - all interesting
and well attended.  I'd be happy to hear any comments or feedback from
any of you that attended the sessions.

Special mentions goes out to Eric Pugh who stepped in at the last moment
to fill a gap in the track schedule and also to the TAC team who
tirelessly helped me with stock for the ASF Booth. The booth was well
stocked with our latest swag items which were also well received ...
they disapperared pretty quickly.

As ever kudos and endless gratitude goes out to the the Conferences team
of Rich Bowen, Ruth Suehle and Brian Proffitt (plus all those others
behind the scenes) who had the busiest week ever but dealt with all the
issues and stress with quick, calm efficiency.

What a blast! Let's get ready for the next one!

Thanks

Location Available in London for ASF or Project Meetups

2022-10-16 Thread sharanf

Hi All

During ApacheCon I met Michel Sumbul. He was keen to mention that his
company has an office based in London and they are willing to offer the
ASF use of the location for holding events and meetups. I think Michel
mentioned that the venue coud hold up to 200 people. (Please correct me
if this is wrong!)

So if you or your project are interested in or thinking about organising
a meetup or event in London then please respond and we can connect you
to Michel.

Thanks
Sharan

FOSDEM 2023

2022-10-16 Thread sharanf

Hi All

In case you haven't heard yet. FOSDEM 2023 is
back as an in person event. Millions of developers (ok perhaps
thousands!) will converge on Brussels to enjoy this mega meetup.

We usually try to have an ASF booth at the event. The call for stands is
open so I'll put in a submission for a stand for the ASF and see how it
goes. We should find out by 1st December if we get a stand or not.

Thanks
Sharan

RE: Re: Proposition to organise Apache meetup in central London

2022-12-11 Thread sharanf

Hi Michel

Thanks again for the offer of the meeting location - and I hope that we
do get something planned just to get things started.

A question - what sort of timeframe are your offices available for? Are
you thinking 2-3 hours, half a day, a full day, morning, evening etc? It
would be good to understand the options and any constraints.

Thanks
Sharan

REMINDER: Still Possible to submit talks to FOSDEM CFPs

2022-12-11 Thread sharanf

Hi All

This is a general reminder that FOSDEM has a few CFPs that are still
open. As well as talks for the Main Tracks, FOSDEM has a large range of
Developer Rooms where you can submit talks to. ASF projects have been
widely represented in the past as our projects fit many of the Developer
Room categories.

Unfortunately the Community Track CFP has closed but there are a few
that are still open so please click the Developer Room link to check the
submission deadline date.

FOSDEM 2023 Wiki Page

2022-12-11 Thread sharanf

Hi All

As mentioned I have setup a page on the ComDev wiki to manage our FOSDEM
involvement.

https://cwiki.apache.org/confluence/display/COMDEV/FOSDEM+2023

Please take a look and add your details if you'd like to help out with
booth setup or tear down, generally help out on the booth or would like
to spend some time on the booth talking to people about your project.

We have the booth available for 2 days (Saturday and Sunday) so please
take a look and book your slots. We are initially taking bookings in
blocks of 2 hours and will see how many projects sign up, so if we find
there are some free slots, then people can get more time. Every year we
have people come along asking about specific projects and we are not
experts on them all...so this is why we need you!

If anyone has already had a talk accepted then please add it to the list.

Thanks
Sharan

FOSDEM 2023 Update

2023-02-07 Thread sharanf

Hi Everyone

I am back and still in the process of recovering from FOSDEM last
weekend so wanted to post a quick update. After two years of being an
online conference due to the pandemic it was great to get back to an in
person event...and FOSDEM excels at being an in person event. I can't
begin to describe how great it felt to be back behind the booth talking
to people about the foundation and our projects. I saw so many familiar
faces of people who keep coming back to say Hello! One guy showed me an
ASF branded USB extender that I gave him a few years ago at FOSDEM for
helping me out with a Kibble demo...:-)

Now normally it rains in February. If there's one thing that seems
assured - it's rain at FOSDEM... well this time it was a little
different. I won't say it didn't rain (because it did) but not that
much. And even more unexpected was the sunshine ..Maybe the city
Brussels was happy to have an in person FOSDEM again too so put on some
good weather for us:-)

Our booth has usually been on the first floor of K block right at the
top of the stairs but this time we were given a new location. We were on
the ground floor on the left hand side along by the windows. We were
also near to one the entry / exit doors. Our position meant that people
had to pass by us to get in or out - so we got a lot of foot traffic.
The FOSDEM team grouped foundations linked to Community Advocacy
together so we were alongside OpenUK, FOSSASIA, Software Freedom
Conservancy. FSFE, FOSSASIA, Ecliipse Foundation etc.

On Saturday I arrived with the bag of swag to find a few people ready
and waiting to help out with setup. We quickly put up the banner (it
definitely needed two people!), blew up some balloons and got the booth
table covered in stickers (So much so that during the event people came
to take photos of our display). We kept telling people that this was
only a small selection of ASF projects. Even so - we did have requests
for stickers we didn't have (so they are on my list for next time). Also
we ran out of the HTTP Server stickers (everyone wanted a sticker of the
first ASF project). We ran out of stickers for Apache Maven, Apache
Kafka this time.

As well as stickers we gave away some balloons for the children (and
some adults too), cleaning cloths for glasses and screens, mugs, head
tubes, pens, small cable bags, key rings and mask extenders (as there
were a few people with masks). The cleaning cloths were very popular -
everyone wearing glasses seemed to want one.

For the things that we had limited supply of - we told people that to
get one would cost 'a good conversation' :-) So we had some really good
conversations - about projects, technology and I think even open source
software for space technology! This is one of the reasons that having a
booth presence is so good for outreach and general community building.

People also came to talk to us about other open source events that were
being organised that they hoped we or our communities might be
interested in participating in. One of these was the Open System Days
Croation Linux Users Conference who have a CFP open
https://www.dorscluc.org/call-for-speakers/. We also offered a free
meeting room for community meetups for any developers based in and
around Portugal.

We had people from different projects spend some time on the booth - so
special shoutout and huge thanks to Claude Warren, Matthew de
Detrich, Arnout Engelen, Myrle Krantz, Jarek Potiuk, Gilles Sadowski,
Johan Corveleyn, Jean-Frederic Clere, Herve Boutemy for helping out on
the booth. Thanks also to everyone that dropped by to say Hi and chat
-it was all fun.

There were rumours of 1 attending people but nothing concrete.
Usually FOSDEM attracts over 8000 developers. Whatever the number there
seemed to be an endless stream of people, there were lots of people at
the foodcarts, on the first and second floors, walking to and from the
other buildings and going in and out of the talks.  I understand that
many of the talks have been recorded so if you didn't make it then you
will still get a chance to see it. If you have never experienced FOSDEM
then I would encourage you to keep it on your radar and see if you can
make it to the next one.

Once again I would like to sincerely thank everyone that was involved in
helping out to make our participation at FOSDEM a success. Am already
looking forward to doing it all again next year if we get the chance.

Please feel free to respond with any of your FOSDEM experiences,
feedback, thoughts or general comments!

Thanks
Sharan

Re: Stickers for Apache Guacamole?

2023-02-23 Thread sharanf

Hi Mike

If you'd like the Apache Guacamole stickers to be added to the Redbubble
store then yes this is the place to request getting that done. In the
past if a project has an event or meetup then ComDev sometimes has
limited budget to get some stickers printed for the project for the event.

If you'd like us to add Apache Guacamole stickers the the Redbubble
where you can purchase things yourself then this process is this:

 * We check that the logo requested to be added is the official project
logo and it must exist in https://apache.org/logos/

 * We will also send a message to the Apache Guacamole PMC to let them
know about this request and get the OK to go ahead
 * We will then add the project logo to the Redbubble store and send a
link to the project PMC to review and approve the logo layout on the
   various swag items (including stickers)
 * Once approved by the project PMC the new logo items are available
for purchase in the Redbubble store

Thanks
Sharan

Community Track CFP Open for Community Over Code (Formerly ApacheCon)

2023-03-18 Thread sharanf

Hi All

This is a note to let you know that we are running a Community Tracks
for Community Over Code (Formerly ApacheCon
). If you haven’t seen the announcement
then please take a look. The event will take place in Halifax, Nova
Scotia, Canada from 7^th - 10^th October 2023. (And yes the dates are
correct – it starts on a Saturday!)

Having a track means that our community has the opportunity to participate.
*
*So why should you submit something for the Community Track CFP?

The ASF and our communities are always evolving and growing. We are
still attracting new projects and new contributors. It’s this diversity
that makes us sustainable so it becomes important that we hear from the
people within all our communities. What topics could you talk about and
submit? Your experience of being part of the ASF is important.

How and why did you become involved with the ASF? What does it mean to
you to be a Contributor, Committer, Member or Officer in the Foundation?
How do you understand and interpret our collaborative culture? What are
your real life stories adopting it? Did you or your project have any
challenges to overcome?

All those with knowledge of branding, licencing, governance - please
feel free to submit something that will share your knowledge with others.

How diverse and inclusive are our communities? Do you have any data or
opinions about where we are now and what our future communities could
evolve into?

The Community Track is all about our communities sharing their thoughts
and experiences with others, so that they can learn from it - so please
submit if you have something you want share. And if it’s your first time
submitting – then no problem, we welcome all submissions. (And if you'd
like to submit something to any other track-- then that's fine too!.
There is no reason you can't submit muitiple talks to multiple tracks)

So get thinking and when you are ready please use the CFP link below to
make your submission.

Submit to the CFP

You can find more details on the website. https://communityovercode.org/

Looking forward to your submissions :-)

Thanks
Sharan and Swapnil

2023-06-28 Thread sharanf

Hi Everyone

It's coming up to that time again... The CFP for Community Over Code
North America will be closing soon (on 13th July to be precise!) and we
are now looking for some volunteers to help us review the proposals. One
thing we are currently asking of the track reviewers is that they are
not planning to make a submission to the track they are reviewing.

If you are interested in helping out and haven't made a submission to
the Community track then please respond.

Project Sticker Requests for Community Over Code NA

2023-09-21 Thread sharanf

Hi All

I'm putting together the sticker order for CoC NA. We've taken a look at
the schedule and any project that has a talk on the schedule will have
stickers ordered. I've created a wiki page for the event with the
details - so please take a look

https://cwiki.apache.org/confluence/display/COMDEV/Community+Over+Code+NA+2023

If you'd like stickers for your project to be available at the ASF booth
then please add the project name to the table on the wiki.

As time is short - I will be putting the order in tomorrow at that
latest to ensure that they will be delivered in time.

Thanks
Sharan
